Give every piece of gear three things: a home, a label, and a name attached to every checkout. Equipment almost never gets stolen, it evaporates, in the gap between "someone loaded it" and "someone brought it back," and the gap closes the moment the gear has an owner for the day instead of a vague crew. The whole system fits on a shelf wall and a checklist, and it pays for itself the first month.
Where gear actually goes
Run the missing-extension-cord investigation once and the pattern is always the same: it's in the other truck, it's still at Saturday's second venue, it's in a crew member's trunk with every intention of coming back, or it's on the shop floor exactly where someone set it down "for a second" nine days ago. None of that is theft, all of it is the absence of a system, and the cost is real: replacement spend, the Saturday scramble when the count comes up short, and the slow normalization of "we're probably missing some stuff."
The three-part fix
1. A home for everything. Every item has one labeled spot at the shop: the hose wall, the adapter bin, the cannon's bay, the cord hooks. The test of a home is that an empty spot is visible from across the room, because an empty labeled hook is information and a full miscellaneous pile is noise. Fifteen minutes of shelf labels turns the shop into its own inventory report.
2. A label on everything. Name and number on every item worth tracking: CANNON-2, GEN-1, CORD-07. Paint pen, label maker, or engraving, whatever survives water. Labels do two jobs: they make checkouts specific, since "a cannon" can't be tracked but CANNON-2 can, and they bring gear home from venues, because a client texting "you left a hose" becomes "you left HOSE-04," and you know exactly which truck's kit is short.
3. A name on every checkout. The load-out list for each day names who took what: Marcus, Truck 1, CANNON-2, GEN-1, the hose kit. Not as surveillance, as memory: when Thursday's count is short a generator, the question "who had GEN-1 Saturday" has an answer, and the answer is usually "oh, it's in my trunk" within the hour. The return check is the same list run backward at unload, sixty seconds, before anyone goes home.
The two habits that carry the system
Count at unload, not at the next load-out. The gap between trips is where trails go cold. A sixty-second count when the truck comes back finds the hose still at the venue while the client remembers your visit and the drive back is short. The same discovery on Friday, mid-load for Saturday, is a crisis with a deadline.
Log the walking wounded. Half of "disappeared" gear actually retired: the cord with the damaged end that someone tossed, the nozzle that cracked. A one-line dead-gear log, item, date, cause, keeps the count honest and quietly writes your repair-versus-replace history at the same time.
Scaling past one truck
One truck and one crew can run this on a clipboard. The system starts earning real money at two trucks, multiple crews, or gear that swaps between brands, because that's where "the other truck probably has it" becomes unfalsifiable. The upgrade is the same three parts, digitized: gear assigned to bookings and trucks in software, so the question "where is CANNON-2" has a current answer without calling three people, and double-assignment gets caught when the booking is made instead of at 7am Saturday when both crews reach for the same generator.
The line to remember
Gear doesn't need guarding, it needs a home, a name, and a sixty-second count at unload. Everything past that is the system running itself.
